WebFax User Guide

Introduction

This guide provides an overview of how to use the WebFax service, including sending faxes, viewing fax history and editing fax settings. This view is only available to the WebFax accounts assigned Primary User.

 View Fax History:

1. While logged into the PBX portal, go to the Fax menu option. This is visible to on Users the My Account page. This page will list all your inbound and outbound faxes along with their status.

2. On the top left side you have the option to filter your faxes by direction and see the assigned fax numbers.

3. To view a fax click the Download or View icons on the left of the table.

4. To delete a fax click the delete icon on the right side of the table.


Web to Fax:

1. Click the Send Fax button

2. Click the Browse button to attach files any files.

3. On the Caller ID field select one of your assigned fax numbers

4. Choose if you’d like to include a virtual cover page. If so complete the Cover Letter fields.

5. Once complete click Send.

 

How to send Faxes directly from e-mails (Email2Fax)

This guide only applies to customers assigned as Primary Users within the Telewyze PBX Dashboard.

The Fax platform allows faxes to be sent directly from e-mails (as attachment), to validate if an e-mail address has been authorized to send faxes it searches for that e-mail in the Telewyze PBX Dashboard.

Now, there are some additional conditions that should be met before faxes can be sent correctly via e-mail.

One fax account is assigned to one PBX user, the fax platform cannot properly handle two PBX users both with active fax accounts and sharing the same e-mail address, when that situation happens all sent faxes will be all assigned to one of the accounts and the other will have nothing, to prevent this issue make sure e-mail addresses are not repeated for users with active fax accounts.

If you already have active fax accounts sharing the same e-mail address, follow the next steps to fix it:

  • Assign different e-mail addresses to all users with active fax accounts
  • Once the e-mail address is unique among all users with fax account, delete each fax account and create them again, this step is required for the fax platform to pull the new e-mail address and re-create the fax account without e-mail conflicts.

Deleting and re-provisioning fax accounts can be done multiple times, faxes sent and received (Fax History) will not be deleted.

In case you want to change the e-mail address of any fax account, email Telewyze Support with the user and email address and when confirmation is received (and if not already done for you) delete and re-provision the fax account in the PBX dashboard, it will force the fax platform to pull the new e-mail address which as previously explained, must be unique.

Once the fax accounts have been properly provisioned, they will be able to send and receive Email2Fax.

We’ve seen recurring issues where accounts were deactivated but not removed, which prevents new fax accounts from provisioning or functioning correctly.

How to send faxes using your Fax Account’s e-mail address.

To Send faxes from your registered fax account e-mail address do the following:

  • In the “From” textbox your fax account’s email address must be selected. And it must contain and match with your RingOS email address account.
  • In the “To” textbox you will enter the destination fax number using the following syntax:

    <destination_fax_number>@ipfax.net

    For example : 5554443333@ipfax.net

  • The destination fax number can have 10 or 11 digits (with the “1” in front), both are acceptable.
  • The e-mail’s subject is not included in the fax but the e-mail body (if included) will be transmitted as the Fax Cover Sheet.

How to receive faxes in your Fax Account’s e-mail address.

After properly configuring your fax account’s e-mail address you can configure the reception via e-mail using the following configurations:

With this configuration faxes will be received by e-mail only.

This configuration will enable dual fax reception (ATA and e-mail).

 

Edit your Fax Settings

1. Go to the Fax menu within your PBX portal.

2. Click the Settings button on the right side of the page.

3. On the Enabled Method field you can select how you receive inbound faxes. Only select 1 option.

Email will deliver inbound faxes to your email and allow for the full range of services by portal, email and print drivers.
ATA will deliver inbound faxes to your fax machine, has the option to copy your email allows for the full range of services by portal, email and print drivers. When selecting ATA a device MAC field will appear. Enter the MAC address of the fax g/w and the device will self configure next time it connects to the internet.

4. The email address used for this webfax account is the one set on the Primary User.
